ACM Europe: Call for Proposals for Seasonal Schools in 2026

The ACM Europe Council invites proposals for the organization of seasonal schools in 2026 under the ACM Europe umbrella. Proposals will be evaluated based on the educational merits and organizational and financial plans. This call targets schools that are happening before June 30, 2026.

Submission Guidelines

Proposals for seasonal schools should be submitted via email ([email protected]) to ACM Europe Council with “ACM Europe Seasonal School Proposal” in the email subject. Proposals must be in PDF and include the following (in the order given):

  • Title of the seasonal school
  • Chairs and organizers
  • Contact information
  • A description of the school’s topic and its goals (<2500 characters)
  • A statement on how the school complements or relates to other events (<2500 characters)
  • Proposed venue (description, including pictures) (<2500 characters)
  • A statement on the benefit that the school will bring to the proposed location, and an explanation why the specific location is a good choice
  • Desired school format, including preferred dates and duration, onsite or hybrid format, a description of participants
  • A description of the application review process, including key dates, coverage of how conflicts of interest are handled, and inclusion & diversity criteria (including geography and gender balance)
  • Outline of the program (including lectures, coffee breaks, and social events)
  • Student accommodation plans
  • Potential (or accepted) speakers or lecturers
  • Publicity plans
  • Funding plans and preliminary budget: Potential registration fees, plans for seeking sponsorship, information about downpayment to the venue if any etc.
  • Inclusion plans: including criteria for student scholarships
  • Historical information about each of the most recent previous editions of the school (if this is not its first edition), including:
    • Date, venue, and affiliated event (if any)
    • Number of applicants
    • Number of participants
    • Ratings (each school will run a review form with participants and speakers)
    • Previous funding from ACM (if exists)

Additional Information

Proposals are evaluated on topic importance, scientific quality, organizational strength, evidence of interest (e.g., previous submission and attendance counts), and overlap with other proposals. Organizers of accepted schools take the lead in announcing the event, managing applications, reviewing candidates, designing the program, and handling logistics—from venue and accommodation to catering and social activities. Programs must follow a joint catering schedule and be published at least 15 days before early registration.

Why submit a proposal for an ACM Seasonal School

ACM Europe hosts only a select number of seasonal schools each year. Approved schools receive ACM endorsement, financial support to complement their budget, and free one-year ACM memberships for all student participants. Successful schools can evolve into an annual ACM Europe School Series, ensuring long-term visibility and impact.

If a school is accepted, organizers must:

  • Ensure ACM visibility by prominently displaying the ACM logo on the school’s website, promotional materials, and program, clearly stating that support is provided by the ACM Europe Council.
  • Collect participant feedback through a post-event questionnaire.
  • Submit a comprehensive report after the school concludes, including the program, participant and application statistics, geographical distribution, and feedback results.
  • Provide lecture videos for inclusion in the ACM Digital Library.
